The Radnor Crew Hospitality Committee supports the Radnor Boys and Girls Crew Clubs through a program designed to provide food and beverages at regattas. Hospitality is vital for the athletes' nourishment and hydration throughout the hours of a long race day. Hospitality is also provided for the comfort and enjoyment of our families and guests in an atmosphere in which our team spirit, friendships, and camaraderie may thrive.
The Radnor Crew hospitality tent and food are an essential part of a fun day at the regattas. Crew clubs from throughout the region line the banks of the Schuylkill River each Sunday in the spring, providing a wide variety of riverside picnics for rowers and families. There are no food vendors at the river, so this is the traditional way to feed athletes who can get very hungry, especially if they are racing twice on the same day.
Due to the number of people we feed and the location and limited parking close to the river, a trailer is used to transport the majority of our supplies to the river early Sunday morning. Most public parking is located up a hill, making it difficult to carry some things on your own. The trailer also ensures that food is delivered early enough for the athletes. When not in use at the regattas, it resides at Radnor High School. Turning into the RHS main entrance off of King of Prussia Road, the trailer will be alongside the equipment storage building in the first parking lot on your left.
The trailer will usually be leaving Radnor High School at 6:00AM on race days. Most items are loaded onto the trailer the day before the regatta, but everything going by trailer must be loaded onto the trailer before 6:00AM on race day morning.
Radnor's "spot" at the river is located east of the St. Joe's boathouse and is identified by a telephone pole painted with stripes (see photo above).
Each athlete's dues include a funding component cover the core training table/refreshment foods for the season. Additional provisions can be provided on a voluntary basis if you desire.
Each family is part of the hospitality effort and is required to help with organizational tasks before and during the races at some point during the season, choosing a volunteer job for which they will be responsible for a minimum of three regattas. You will select your job and the weeks you will be responsible for this job via a sign-up spreadsheet Google Document prior to the start of the season, available here. If you haven't yet volunteered for the current spring season, please do so now.
The benefits of this process are a consistent, efficient, and economical hospitality function. There are opportunities for each family to support the team in a way that fits their own skills and schedules. A brief list of jobs is provided below, but detailed job descriptions for each volunteer are provided on the sign-up spreadsheet to make each job as simple as possible. Multiple families will select specific jobs and will work as a team for this specific function. This reduces the uncertainty of being assigned something different each week. Each family can become comfortable and proficient doing an assignment of their own choosing.
The detailed job descriptions will help take the guesswork out of performing each task (e.g., by providing quantities). The Hospitality Committee will also provide training for certain jobs (set-up, clean-up, towing), so that inexperience shouldn't deter you from jobs that may work best for your schedule.At the beginning of each spring season, each family will receive specific instructions regarding the hospitality effort. The cost of the hospitality effort is included in athletes' dues, and you will be able to schedule your family's job for three regatta dates using the sign-up spreadsheet.

Post-Regatta Tasks
The second column of the sign-up spreadsheet contains links to the detailed instructions for each job. For example, in the cell "Details-Bagels," you will see a little icon displayed to the left of the cell. Click that icon in order to view the instructions.
Receipts for reimbursable hospitality expenses will be submitted to the hospitality chairs. Instructions and a reimbursement form are available here, or contact the Hospitality Committee. The deadline for submitting receipts will be one week after the Stotesbury Cup Regatta.
